Privacy Policy
Last updated: [Effective Date]. This policy explains what data Hyre Mate collects, why, and the choices you have.
This Privacy Policy describes how [Company Legal Name] ("Hyre Mate", "we", "us") collects, uses, discloses and safeguards information when you use our website and the Hyre Mate AI recruitment platform (collectively, the "Service"). By using the Service, you agree to the practices described here.
1. Who this policy applies to
This policy applies to two groups: (a) users — recruiters, hiring managers and administrators who create an account, and (b) candidates — individuals whose resumes, transcripts or interview recordings are uploaded to the Service by a user. Where a user uploads candidate data, that user acts as the controller of that data and Hyre Mate acts as a processor on their behalf.
2. Information we collect
Account information
- Name, email address, phone number and company name.
- Authentication details, including sign‑in via Google OAuth.
- Profile and billing or upgrade‑request details you provide.
Candidate and recruitment data
- Resumes and the text extracted from them (PDF, DOC, DOCX, TXT, JPG, PNG).
- Candidate profile fields such as contact details, skills, experience and education.
- Job descriptions, interview schedules, transcripts, audio recordings and AI‑generated scores and notes.
Usage and device data
- Log data such as IP address, browser type, pages viewed and timestamps.
- Product analytics collected through Microsoft Clarity and Vercel Analytics.
- Cookies and similar technologies (see our Cookie Policy).
3. How we use information
- To provide, operate and maintain the Service, including resume parsing, scoring, interview analysis and question generation.
- To authenticate users and secure accounts.
- To improve product performance, troubleshoot issues and develop new features.
- To communicate with you about your account, support requests and service updates.
- To comply with legal obligations and enforce our Terms of Service.
4. AI processing
The Service uses artificial intelligence to analyze resumes, transcripts and recordings and to generate scores, notes and interview questions. AI outputs are provided as decision support and should be reviewed by a human; they are not a substitute for your own judgment, and you remain responsible for hiring decisions.
5. Legal bases for processing
Where applicable law (such as the GDPR) requires it, we process personal data on the basis of performance of a contract, legitimate interests, your consent, and compliance with legal obligations. You may withdraw consent at any time where processing is based on consent.
6. Sharing and disclosure
We do not sell personal data. We may share information with:
- Service providers who host, process or support the Service (for example cloud hosting, analytics and AI providers), under appropriate confidentiality and data‑processing terms.
- Authorities where required by law, regulation or valid legal process.
- Successors in the event of a merger, acquisition or sale of assets.
7. Data retention
We retain personal data for as long as your account is active or as needed to provide the Service, and thereafter as required to comply with legal obligations, resolve disputes and enforce agreements. Users can delete jobs, candidates and interviews, and can request deletion of their account.
8. Security
We use technical and organizational measures designed to protect personal data, including encryption of data in transit over HTTPS and access controls. No method of transmission or storage is completely secure; you can read more on our Security page.
9. Your rights
Depending on your location, you may have rights to access, correct, delete, restrict or port your personal data, and to object to certain processing. To exercise these rights, contact us at support@hraiassistant.com. Candidates should generally direct requests to the organization that uploaded their data; we will assist that organization as the processor.
10. International transfers
Your information may be processed in countries other than your own. Where required, we use appropriate safeguards for international transfers.
11. Children
The Service is not directed to children and is intended for use by organizations and professionals. We do not knowingly collect data from children.
12. Changes to this policy
We may update this policy from time to time. Material changes will be posted on this page with a revised "Last updated" date.
